We are excited you have decided to exhibit at ICAST, the world’s largest fishing trade show! Below you will find an overview of helpful information, but more details can be found in your Exhibitor Dashboard Checklist.

  • Promo Pak – The most important exhibitor document goes over everything in detail for the show including exhibitor schedule, new product showcase, deadlines, etc.

  • Show Schedule – Exhibitor move in is on Monday and Tuesday. The show floor is open Wednesday – Friday and move out begins Friday after the show and finishes Saturday (Promo Pak).

  • Move In/Move Out – Freeman manages move-in and move-out at the show, so make sure to read items in the checklist pertaining to their policies (POV, Hand Carry Policy, Freeman Quick Facts).

  • Freeman – Our in-house vendor at the show who handles carpeting, flooring, booth materials, furniture, material handling and shipping (Exhibitor Resource Center – Freeman Online).
  • Booth Space – There are 4 different booth types: Linear – comes with 8 ft. pipe and drape on the back and 3 ft. on the sides. Corner – Pipe and drape the back and one side. Peninsula – Pipe and drape on the back. Island – No pipe and drape. Anything additional must be brought or ordered.
  • Flooring is Mandatory – You can bring your own, use Freeman or an outside vendor.
  • Booth Furnishings – You can ship your own items to the show, use Freeman or a booth management company of your choice. Make sure to read the Rules & Regulations document in the checklist that covers booth expectations.

  • Certificate of Insurance – All exhibiting companies must submit a COI, either from an outside insurance company or our preferred provider RainProtection (Need Insurance?) Once purchased it can be uploaded to the checklist (Upload Certificate of Insurance).

  • EAC Form – If you use an outside company to build your booth, turn in an EAC (exhibitor appointed contractor) form and insurance for that company.

  • Updating Company Listing – All information in the listing about your company is visible to attendees of the show via our printed show guide, website and ICAST app.
  • Registering for Badges & Housing – Completed through CDS/Xpressreg, who will email a password to login to their website (Register for Badges and Housing). Badges are required to access the show.
  • Badge Pricing – You get 4 badges for every 100 sq. ft. at the $10 rate, outside of your allotment it increases to $30 a badge (prices increase after the pre-reg deadline).
  • Sponsorship Opportunities – Available for all price points. Click Sponsorship Opportunities in the checklist or contact Manager – New Business Development, Caley Gillett cgillett@asafishing.org.
  • On the Water Product Demo Day – Tuesday from 9am-1pm exhibitors can set up a booth along the north side pond where attendees can test the latest gear (register under Sponsorships – On The Water).

  • New Product Showcase – Enter in new product(s) that haven’t been sold before January 1 of the show year for the chance to win Best in Category or Best in Show (Promo Pak).

  • Fly Shop – Booth set up like a retail shop for exhibitors to display fly fishing products on the show floor for additional exposure (Promo Pak).

  • Show Specials – Offer a discount to buyers at the show to be featured in our printed show guide, website and ICAST app (Upload Show Specials).

  • Lure Tank – Register for a 30-minute timeslot to showcase your company’s lure in a lifelike setting (Reserve Time at the Lure Tank).

  • Press Conference Room – Exhibitors have access to reserve time in our fully equipped press conference room with seating that accommodates up to 50 people (Reserve Time in the Press Conference Room).

  • Exhibitor Content – Upload one page of content to be shown to attendees, including press releases, news articles, ads etc. (Upload Exhibitor Content).

  • Electrical, Plumbing, Arial Rigging & Gas – Ordered through the Orange County Convention Center (OCCC Ordering Information).

  • Internet – If you would like a special connection for your booth you can order through SmartCity available in your checklist (SmartCity Information).

  • Food & Beverage – Ordered through Sodexo (Sodexo Information).

  • Meeting Room – Can be reserved at the convention center during the week of the show for $1,250 per room/per day (Request a Meeting Room, Meeting Room Set-up Diagram).

  • Happy Hour – Each day on the show floor, exhibitors offer drinks and snacks at their booth from 4–6pm on Wednesday and Thursday and 12–2pm on Friday. (F&B must be ordered through Sodexo).

  • MapYourShow – The company who handles our Exhibitor Dashboard. They also have their own set of sponsorship opportunities that are available on their website (Increase Your Exposure).
